Spring '17 Retreat at Northwestern

We are pleased to announce that EBRC’s second semi-annual retreat will take place March 24-25, 2017 at Northwestern University in Evanston, IL. You must be registered to attend - please see information below if you're not sure who can register. The agenda will be posted online - here's an overview of the schedule:

  • Evening before the retreat: Tentative Informal mixer at TBA - 8pm
  • Friday, March 24: First session starts at 9:00 AM! Message from Executive Director, research talks, updates and plans in the morning. Public session and reception in the afternooon. EBRC meetings, poster session, and SPA social event in the evening.
  • Saturday, March 25: More research talks and roadmapping breakouts. We will end by 5:00 PM.


The EBRC retreat is open to members and invited guests only. Members include our academic members, their students and postdocs, and member companies' employees. On Friday afternoon, we welcome members of the general research community to join us for our public session, keynote speaker, and a reception for the Chicago-area engineering biology community.

EBRC member companies may normally send up to three employees. If your company would like to send more, please contact us. We'll do our best to accommodate as many requests as possible.

Let EBRC reserve your hotel room: We have a special block of rooms at The Orrington Hilton for a discounted rate of $129/night. To take advantage of this service, indicate your preference on the registration form or email us at travel@ebrc.org with your accommodation needs. EBRC will send you your hotel confirmation number directly.

Important dates:

  • Now: Book your own flights early to obtain low fares. 
  • Tuesday, February 28: Last day to register to be sure to get a hotel room.
  • Friday, March 17: Registration closes. Last day for students and postdocs to submit poster abstracts to make it into the meeting materials.

EBRC will support reasonable travel costs of academic members, plus one trainee for tenured faculty, or two trainees for untenured faculty. We strongly encourage tenured faculty with available financial resources to bring an additional trainee from your laboratory. 

1. Book your flight (get pre-approval, if necessary)
EBRC will reimburse you for airfare, ground transportation, and business travel-related expenses after the retreat. Airfare will be automatically reimbursed up to these amounts:

  • from West Coast - $450
  • from Midwest - n/a
  • from South - $300
  • from East Coast - $300

If your airfare is above the rates above, please email your proposed itinerary to travel@ebrc.org with a short justification. Expensive tickets booked without prior approval may not be eligible for full reimbursement. EBRC can only reimburse nonrefundable, nontransferable economy-class tickets.

2. Hotel accommodations
EBRC will reserve hotel rooms for you at The Hilton Orrington/Evanston, based on the needs you specific during registration. To accommodate the greatest number of attendees, students and postdocs are required to share double-occupancy rooms. When you register for the retreat, you may specify your roommate or we will match individuals prior to the retreat. The room and tax will be billed directly to EBRC, and you will be asked to provide a credit card for incidentals.

3. Preparing your poster
All EBRC students and postdocs are expected to present a poster. (If you are giving a talk, then posters are encouraged but not required.) You are encouraged to add any of the EBRC logos below to your poster, or use the 36" x 48" EBRC poster template. Posters will be up for the majority of the meeting in a room intended for EBRC Retreat attendees only. If you are not ready to submit your poster info when you register, please enter a working title anyway -- you can change this later. Submit your final poster information to info@ebrc.org no later than March 17, or your poster will not be highlighted in the retreat abstract book. You must send us your final poster and/or talks slides, to be posted on the members-only webpage, before your travel reimbursement will be approved. 

4. After the retreat
You will receive a link to submit your expenses. Expenses eligible for reimbursement include ground transportation to/from your home and hotel, meals en route to the meeting (within federal per diem rates), and other necessary business expenses to attend the retreat.
