EBRC FALL 2017 RETREAT

We are pleased to announce that EBRC’s third semi-annual retreat will take place September 22 - 23, 2017 at Georgie Institute of Technology in Atlanta, Georgia. You must be registered to attend - please see information below regarding eligibility to register. 

Registration is required and is in addition to the process to submit abstract or posters. All posters are automatically accepted. We will provide a full agenda with the schedule of all talks in the next few weeks. PLEASE REGISTER FOR THE RETREAT NOW. The agenda will be posted online - here's an overview of the schedule:

  • Evening before the retreat: Informal mixer for those arriving early.
  • Friday, September 22: First session starts at 9:00 AM! Message from Executive Director, research talks, updates and plans in the morning. EBRC meetings, poster session, and SPA social event in the evening.
  • Saturday, September 24: Research talks and roadmapping breakouts. The day will end by 4:00 PM.

Important dates: 

  • Friday, September 8: Last day to reserve a hotel room. Last day for students and postdocs to submit poster abstracts to be included in meeting materials.
  • Friday, September 15: Registration closes. 

Registration Eligibility: The EBRC retreat is open to members and invited guests only. Members include our academic members, their students and postdocs, and member companies' employees.

In general, EBRC member companies may send up to five employees. If your company would like to send more, please contact us. We will do our best to accommodate as many requests as possible.

Let EBRC reserve your hotel room: We have a block of rooms at the Georgia Tech Hotel and Conference Center reserved for a discounted rate of $169/night. Take advantage of this service by indicating your preference on the registration form or email us at travel@ebrc.org with your accommodation needs. EBRC will send your hotel confirmation number after registration for the event has closed. Please do not contact the hotel for confirmation information. You will be asked for a payment source at check-in. 

INFO FOR ACADEMIC MEMBERS (*changed from previous retreats):

EBRC will support reasonable travel costs of academic members, plus one trainee for tenured faculty, or two trainees for untenured faculty. We encourage tenured faculty with available financial resources to bring an additional trainee from your laboratory. 

For the Fall Retreat, EBRC will cover airfare, hotel and ground transportation to and from airports only. To simplify and speed up the reimbursement process, EBRC will only be providing those meals offered at the retreat. EBRC will not be reimbursing any additional meals. (If there are extenuating circumstances and an exception to this policy is needed, please contact us at travel@ebrc.org). We are using a travel service to directly pay for all flight arrangements. If you have travel needs that can not be accomodated through the service, please contact us at travel@ebrc.org. To expedite reimbursement, we will be collecting information to set up each traveler as a "vendor" either when travel arrangements are made or at the retreat. This should streamline and speed reimbursement.

1. Booking your flight

All flight arrangements must be made through the EBRC's travel service - please make reservations as soon as possible after receiving the instructions and details from us.

Information on flight reservation process will be sent to you 24-48 hours after you complete your retreat registration. In addition to reasonable airfare costs (see below), EBRC will reimburse ground transportion to and from the airport for both your departures and arrivals.

Ground transportation to and from the Atlanta Airport - EBRC will provide reimbursement for transportation using Atlanta's rapid transit system - MARTA. One-way cost to and from the airport is $2.50. We will ask for your home ground transportation costs when you check into the retreat.

Airfare limits: West Coast - $450; Midwest - $200; South - $225; East Coast - $250

Flights below the above amounts will be automatically approved by our travel agent and you ticket will be booked. If your airfare is higher than the rates above, the EBRC travel service will request approval from us. EBRC can only cover nonrefundable, nontransferable economy-class tickets.

2. Hotel accommodations

EBRC will reserve hotel rooms for you at Georgia Tech Hotel and Conference Center, based on the needs you specify when you register for the retreat. To accommodate the greatest number of attendees, students and postdocs are required to share double-occupancy rooms. When you register for the retreat, please specify your roommate or we will match you with one prior to the retreat. The room and tax will be billed directly to EBRC, and you will be asked to provide a credit card for incidentals. You will be provided hotel confirmation information after registration for the retreat has closed.

3. Preparing your poster

All EBRC students and postdocs are expected to present a poster. (If you are giving a talk, then posters are encouraged but not required.) You are encouraged to add any of the EBRC logos below to your poster, or use the 36" x 48" EBRC poster template. Posters will be displayed for the majority of the meeting in a room intended for EBRC Retreat attendees only. Submit your final poster information no later than Friday, September 8th. Go to: SUBMIT POSTER and select "Poster".  You must send us your final poster and/or talk slides, to be posted on the members-only webpage, before your travel reimbursement will be approved.
